Privacy Policy
Effective Date: 1/1/26
Last Updated: 8/3/26
1. Overview and Controller
This Privacy Policy explains how Youth Sports Clarity collects, uses, discloses, retains, and protects personal information through the Services. Youth Sports Clarity is the business responsible for the personal information covered by this Policy, unless a specific notice says otherwise.
This Policy applies to visitors, customers, subscribers, account holders, parents, guardians, and other adult users. It also addresses information about youth athletes or other minors that an authorized adult chooses to submit. It does not apply to third-party websites, app stores, or services that have their own privacy policies.
2. Information We Collect
A. Information you provide
- Identifiers and account information, such as name, display name, email address, password or authentication data, user ID, and communication preferences.
- Commercial information, such as purchases, subscriptions, entitlements, transaction history, billing status, and customer-support records. Payment processors collect payment-card details directly; YSC ordinarily receives transaction and status information rather than complete card numbers.
- User Content, such as notes, timelines, incident summaries, documentation entries, coach or organization details, generated drafts, reports, form responses, files, screenshots, photos, PDFs, emails, and other records you choose to upload or save.
- Communications, such as support messages, survey answers, feedback, privacy requests, and emails you send us.
- Course, content, and preference information, such as progress, saved items, plan status, display preferences, and settings.
B. Information collected automatically
- Device and network data, such as IP address, browser, operating system, device type, language, approximate location derived from IP, and device or cookie identifiers.
- Usage and performance data, such as pages or screens viewed, features used, referring URLs, dates and times, session events, clicks, crash reports, diagnostics, and security logs.
- Cookie and similar-technology data collected through cookies, pixels, tags, local storage, software development kits, and analytics tools.
- Mobile-app data and permissions that you choose to enable, if applicable. The app will request device permissions through the operating system when required for a feature.
C. Information from other sources
We may receive transaction, subscription, entitlement, fraud-prevention, and account-match information from payment providers, app stores, course platforms, referral partners, and service providers. We may also receive information you authorize another person or service to send us.
3. Sensitive and Child-Related Information
User Content may contain information that is sensitive in context, including child-related information, allegations or concerns about conduct, family circumstances, emotional or behavioral observations, health-related details, communications, and private records. YSC does not require most of this information. Submit only what is necessary, use initials or roles when practical, and do not submit government identifiers, financial-account credentials, complete medical records, or other highly sensitive information unless a feature expressly requires it.
We do not use sensitive User Content to infer characteristics about you or a child for advertising. We do not sell private reports, uploads, incident notes, or child-related User Content.
4. How We Use Information
- provide, authenticate, operate, personalize, and maintain the Services;
- create and manage accounts, purchases, subscriptions, access entitlements, saved work, uploads, exports, and course progress;
- process and improve drafts, summaries, reports, worksheets, templates, and other requested outputs;
- respond to support, privacy, and account requests and communicate about the Services;
- process transactions, prevent fraud, maintain records, and administer billing;
- monitor performance, analyze use, develop features, fix errors, and improve usability;
- protect security, investigate abuse, enforce agreements, and prevent unlawful or harmful activity;
- send transactional, account, product, educational, and marketing communications as permitted by law;
- comply with law, legal process, tax and accounting duties, and protect rights, safety, and property; and
- carry out another purpose disclosed when information is collected or with your consent.
We do not use User Content to make official findings, investigate abuse, determine legal rights, or provide medical, legal, mental health, or crisis services.
5. AI Processing
When you choose an AI-assisted feature, relevant prompts and User Content may be sent to an AI service provider to generate the requested result. YSC currently uses OpenAI through a server-side service for certain drafting features. Do not include unnecessary names or sensitive details in an AI prompt. AI providers may process data on our behalf under their service terms and contractual controls; their processing can change as our configuration or providers change.
We may review limited technical metadata and outputs to troubleshoot abuse, safety, or product issues. Support personnel should access private workspace content only when access is reasonably needed to respond to a request, investigate a security or legal issue, or maintain the Service, and subject to access controls.
6. Cookies, Analytics, Advertising, and Global Privacy Control
We use necessary technologies for authentication, security, preferences, shopping, and core functionality. We may also use analytics and advertising technologies, including Google Tag Manager and services deployed through it, to measure traffic, events, conversions, and campaign performance. These technologies may collect identifiers, device information, approximate location, and online activity and may associate activity across services.
Where required, we will request consent before using non-essential cookies or similar technologies. You can use available cookie controls and browser or device settings. Disabling technologies may affect functionality. We respond to legally recognized opt-out preference signals, such as Global Privacy Control, where required by applicable law. Because there is not yet a uniform standard for all browser “Do Not Track” signals, we do not respond to other DNT signals unless required by law.
7. How We Disclose Information
We may disclose personal information to:
- service providers and contractors that support hosting, authentication, database and file storage, cloud infrastructure, payments, subscriptions, email, customer support, security, analytics, content delivery, and AI processing;
- payment processors, app stores, and commerce platforms to complete transactions, manage subscriptions, prevent fraud, and confirm access;
- professional advisers, auditors, insurers, and financial institutions subject to appropriate duties;
- law enforcement, regulators, courts, or other parties when we reasonably believe disclosure is required by law or necessary to protect rights, safety, property, users, minors, or the Services;
- a buyer, successor, lender, or adviser in a merger, financing, acquisition, restructuring, bankruptcy, or sale of all or part of the business, subject to appropriate protections; and
- other parties at your direction, with your consent, or when you intentionally share an export or communication.
Core providers currently used for the web application may include Supabase for authentication, database, and private file storage; Netlify for hosting and server functions; SureCart and its payment partners for commerce and entitlement information; OpenAI for selected AI-assisted features; and Google services for tag management and analytics. Providers and configurations may change as the Services evolve.
8. Sale, Sharing, and Targeted Advertising
We do not sell private User Content or child-related documentation for money. We may use analytics or advertising technologies that disclose browsing or interaction data to third parties in a way that may be considered “sale,” “sharing,” or “targeted advertising” under some state privacy laws, even if no money is exchanged. Where applicable, you may opt out through our cookie or privacy controls, a recognized opt-out preference signal, or by contacting us.
We do not knowingly sell or share for cross-context behavioral advertising the personal information of anyone under 16.
9. Data Retention
We retain information only as long as reasonably necessary for the purposes described in this Policy, including providing accounts and Services, maintaining security, resolving disputes, enforcing agreements, and meeting legal, tax, accounting, and compliance obligations. Retention depends on the information and context.
- Account and workspace content generally remains while the account is active and until deleted by you or through an approved request, subject to backups and legal needs.
- Transaction, subscription, tax, and accounting records may be kept for the period required for business and legal obligations.
- Security, diagnostic, and fraud-prevention logs are kept for a limited period appropriate to their purpose.
- Backups may retain deleted data for a reasonable, time-limited period before rotation, unless legal preservation is required.
We may anonymize or aggregate information so it can no longer reasonably identify a person and retain that information for lawful purposes.
10. Security
We use reasonable administrative, technical, and organizational measures designed to protect personal information, including access controls, private storage configurations, transport encryption, and server-side handling of secret credentials where appropriate. No security measure, database, device, email, or internet transmission is completely secure. You use the Services and transmit information at your own risk.
Protect your credentials, use a unique password, secure downloaded exports, and promptly report suspected unauthorized access. Do not use the Services as the sole repository for critical evidence or time-sensitive records.
11. Account and Data Deletion
You may delete individual records through available features. You may request access, export, correction, or deletion of your account and associated personal information through the in-app privacy or settings path, if available, or by emailing support@youthsportsclarity.com. We may verify your identity and authority before acting.
Deletion may not include information we must retain for transactions, security, fraud prevention, legal compliance, dispute resolution, or exercise of legal rights. Deleting an account does not necessarily cancel a subscription; cancel recurring billing separately through the applicable billing portal or app store.
12. Children’s Privacy
The Services are directed to adults, not children under 13, and minors may not independently create accounts or submit personal information. We do not knowingly collect personal information directly from a child under 13 without legally sufficient parental consent. If we learn that we collected such information without required consent, we will take reasonable steps to delete it. Contact support@youthsportsclarity.com if you believe this occurred.
An adult parent or legal guardian may submit limited information about their own child when reasonably necessary to use a Service. By doing so, the adult represents that they have authority and a lawful basis to provide it. Do not submit identifying information about other children or families unless you have a lawful reason and it is necessary. Adult submission of information about a child does not make YSC an official reporter, investigator, school record system, medical record system, or child-directed service.
13. Your Privacy Choices
- Account information: review or update available profile and preference fields.
- Marketing email: unsubscribe using the link in a marketing message. We may still send account, transaction, legal, and service messages.
- Cookies and advertising: use available consent controls, browser settings, device settings, or a legally recognized opt-out preference signal.
- Mobile permissions: review or revoke permissions in device settings; some features may stop working.
- Account and workspace data: use available export or delete tools or contact support.
14. U.S. State Privacy Rights
Depending on where you live and whether a law applies to YSC, you may have rights to know or access personal information; correct inaccuracies; delete information; obtain a portable copy; opt out of sale, sharing, targeted advertising, or certain profiling; limit certain uses of sensitive personal information; withdraw consent; and appeal a denied request. You may also have a right not to receive discriminatory treatment for exercising a privacy right.
To submit a request, email support@youthsportsclarity.com with the subject “Privacy Request” or mail us at the address below. Describe the request and the account or email involved. We will verify identity using information reasonably related to the request. An authorized agent may submit a request where permitted, but we may require proof of authority and direct verification with the consumer. To appeal a decision where applicable, reply with the subject “Privacy Appeal” and explain the basis for the appeal.
15. California Notice
California residents may have rights under the California Consumer Privacy Act, as amended, if and when it applies to YSC. During the preceding 12 months, YSC may have collected the following California categories: identifiers; customer records information; commercial information; internet or other electronic-network activity; approximate geolocation; audio, electronic, or visual information; professional or employment-related information if voluntarily submitted; inferences based on use or preferences; and sensitive personal information contained in account credentials or voluntarily submitted User Content.
We collect these categories from you, your device, service providers, commerce partners, and parties you authorize; use them for the purposes in Section 4; and disclose them to the categories in Section 7. We do not use or disclose sensitive personal information for purposes that require a right to limit under California law unless we provide that right. We retain categories as described in Section 9.
California’s “Shine the Light” law may permit certain residents to request information about disclosure of personal information to third parties for their direct-marketing purposes. Contact us to make a request. We do not provide financial incentives for personal information unless separately disclosed.
16. Nevada and Other State Notices
Nevada residents may submit a verified request to opt out of covered sales under Nevada law. Residents of Colorado and other states with applicable comprehensive privacy laws may exercise the rights described above, including applicable appeal rights. YSC will honor legally valid requests to the extent the relevant law applies.
17. International Users
YSC is operated from the United States. If you use the Services from another country, information may be processed in the United States and other locations where our providers operate. Those places may have different privacy laws. Where legally required, we will use an appropriate transfer mechanism. The Services are not offered in a jurisdiction where their operation would violate local law.
18. Third-Party Services
Third-party websites, app stores, payment pages, embedded media, and linked resources collect and use information under their own policies. Review those policies before providing information. YSC is not responsible for third-party privacy or security practices.
19. Changes to This Privacy Policy
We may update this Policy as practices, Services, providers, or laws change. We will post the revised Policy and update the “Last updated” date. If changes are material, we will provide additional notice where required. If consent is required for a new use, we will request it.
20. Contact and Complaints
For privacy questions, rights requests, or complaints, contact support@youthsportsclarity.com or mail us at the address below. We will review and respond as required by applicable law. You may also have the right to contact your state attorney general or another privacy regulator.
